ClockCost is a workforce app for field crews: GPS-verified clock-in and clock-out, materials and receipt tracking, work orders, and job costing. It is built and operated by Southern Housing LLC ("we," "us," "our"), 13541 Church St, Williston, SC 29853. This policy explains what the app collects, why, and what your rights are. It applies to the ClockCost mobile apps, the web app at clockcost.com, and the admin dashboard.
ClockCost is used by a company's own field crew. There is no public sign-up. Your company (the "Account Holder") creates your worker profile and gives you a PIN. The Account Holder decides what work you are assigned and can see the records you create in the app. We process your data on the Account Holder's behalf to run their business; the Account Holder is responsible for telling you how they use it.
| Data | Why | When |
|---|---|---|
| Name, phone number, and the role your company assigns you | To identify you in the app and on time and cost records | Entered by the Account Holder when your profile is created |
| Your login PIN | To sign you in | Set by the Account Holder; checked on our servers |
| Precise location (GPS) | To verify clock-in and clock-out at the job site, to remind you to clock out if you leave the site, and, if your company enables it, to log mileage for drive time | At the moment you clock in or out; about once a minute while you are clocked in at a job site with the app open (to detect that you have left); and about every 30 seconds while you are clocked in on a Drive with the app open (to detect arrival at the next property). Not collected when you are clocked out or the app is in the background. |
| Time records | To calculate hours, pay, and job costs | Every clock-in, clock-out, and any edit to those records |
| Photos you take in the app (receipts, job notes, materials) | To file expenses to the right job and document work | Only when you choose to take or attach a photo |
| Receipt text | To read merchant, amount, and items off a receipt photo automatically | When you scan a receipt |
| Pay rate, hours, and job cost data | To produce payroll and job-cost reports for the Account Holder | Continuously, from your time and materials entries |
| Notes and work-order content you write | To share with your crew and company | When you write them |
| Bank and card transactions (date, description, amount) from accounts the Account Holder chooses to connect | To import business purchases so they can be assigned to a job, property, and expense category — the same task otherwise done by typing them in by hand | Only after the Account Holder links an account, and only for that business's own accounts |
| Push notification token and basic device info (platform, app version) | To deliver reminders and to tell you when an update is required | When you allow notifications and each time the app starts |
We do not collect contacts, calendar, health data, or government ID numbers. We never see or store your full bank or card account numbers — see Bank and card connections below. We do not track you across other apps or websites, and we do not use advertising.
The app asks for location permission because verifying that a clock-in happened at the job site is the core of what it does. Your position is recorded with each punch and shown to your company's admin alongside that punch. While you are clocked in at a job site with the app open, the app checks your position about once a minute so it can remind you to clock out if you have left. While you are clocked in on a Drive with the app open, it checks about every 30 seconds so it can offer to switch you to Job Site when you arrive. It does not track you in the background. You can turn location off in your phone's settings at any time; clock-in will then be recorded without a verified position, and your company may not accept it.
An Account Holder — the business owner or administrator — may connect their company's own bank or credit card accounts so that business purchases appear in the app automatically instead of being entered by hand. This is optional, and nothing is connected unless they choose to do it.
The connection is made through Stripe Financial Connections. You enter your bank credentials on Stripe's own page, never in this app, and we never see or store them. We also never receive your full account number.
What we receive and store is a list of transactions — date, description, and amount — for the connected accounts. We use it for one purpose: so the Account Holder can categorise each purchase to a job, property, and expense account, and so those costs appear in their reports. We do not use this data for advertising, we do not sell it, and we do not share it with anyone other than the providers listed below who help us run the app.
Crew members do not connect accounts and do not see this data. It is visible only to the Account Holder and administrators of that company.
An Account Holder can disconnect an account at any time from the Card & bank screen, which revokes our access. Transactions already imported remain in that company's records as part of its own bookkeeping, and can be deleted by the Account Holder.
We use a small number of providers to run the app. Each processes data only to provide its service to us:
We do not sell your personal information, and we do not share it with anyone for their own marketing.
Time, pay, and job-cost records are business and payroll records. We keep them for as long as the Account Holder's account is active and for at least the period required by tax and labor recordkeeping law (generally three to seven years), after which they are deleted. Photos and notes are kept for the life of the account unless the Account Holder deletes them sooner. Location points are kept only as part of the punch or mileage record they belong to. A nightly backup of the whole database is taken and the 30 most recent are kept; older ones are deleted automatically.
If you are a resident of a state with a consumer privacy law that gives you additional rights, you may exercise them by contacting us at the address below. We will not discriminate against you for doing so.
Data is encrypted in transit (TLS) and at rest by our providers. Sensitive worker data is kept behind admin-only access on the server. PINs are checked server-side, and access is rate-limited. No system is perfectly secure; if we learn of a breach affecting your data, we will notify the Account Holder and, where required, you.
ClockCost is a workplace tool for adults. It is not directed to anyone under 18, and we do not knowingly collect information from children.
We will post updates here with a new date. If a change materially affects how we use your data, we will notify Account Holders in the app or by email before it takes effect.
