Who we are

Clockcost is a workforce app for field crews: GPS-verified clock-in and clock-out, materials and receipt tracking, work orders, and job costing. It is built and operated by Southern Housing LLC ("we," "us," "our"), 13541 Church St, Williston, SC 29853. This policy explains what the app collects, why, and what your rights are. It applies to the Clockcost mobile apps, the web app at clockcost.com, and the admin dashboard.

Who the app is for

Clockcost is used by a company's own field crew. There is no public sign-up. Your company (the "Account Holder") creates your worker profile and gives you a PIN. The Account Holder decides what work you are assigned and can see the records you create in the app. We process your data on the Account Holder's behalf to run their business; the Account Holder is responsible for telling you how they use it.

We do not collect contacts, calendar, health data, financial account numbers, or government ID numbers. We do not track you across other apps or websites, and we do not use advertising.

Location, in plain terms

The app asks for location permission because verifying that a clock-in happened at the job site is the core of what it does. Your position is recorded with each punch and shown to your company's admin alongside that punch. While you are clocked in at a job site with the app open, the app checks your position about once a minute so it can remind you to clock out if you have left. While you are clocked in on a Drive with the app open, it checks about every 30 seconds so it can offer to switch you to Job Site when you arrive. It does not track you in the background. You can turn location off in your phone's settings at any time; clock-in will then be recorded without a verified position, and your company may not accept it.

We do not sell your personal information, and we do not share it with anyone for their own marketing.

How long we keep it

Time, pay, and job-cost records are business and payroll records. We keep them for as long as the Account Holder's account is active and for at least the period required by tax and labor recordkeeping law (generally three to seven years), after which they are deleted. Photos and notes are kept for the life of the account unless the Account Holder deletes them sooner. Location points are kept only as part of the punch or mileage record they belong to. A nightly backup of the whole database is taken and the 30 most recent are kept; older ones are deleted automatically.

Your choices and rights

If you are a resident of a state with a consumer privacy law that gives you additional rights, you may exercise them by contacting us at the address below. We will not discriminate against you for doing so.

Security

Data is encrypted in transit (TLS) and at rest by our providers. Sensitive worker data is kept behind admin-only access on the server. PINs are checked server-side, and access is rate-limited. No system is perfectly secure; if we learn of a breach affecting your data, we will notify the Account Holder and, where required, you.

Children

Clockcost is a workplace tool for adults. It is not directed to anyone under 18, and we do not knowingly collect information from children.

Changes

We will post updates here with a new date. If a change materially affects how we use your data, we will notify Account Holders in the app or by email before it takes effect.
